Section 01 · What happened

The call I've never forgotten

Years ago I sat listening to a recorded intake call at a firm I was working with.

It started well. The caller had been in a significant accident. A company vehicle had caused it — meaning a large insurance policy behind it. The injuries were serious. Almost certainly a six-figure case.

The intake person did the sensible thing and moved to transfer him to an attorney who could close it. Hold music started.

Fifteen seconds, which is about my limit. Thirty, which should be the absolute backstop. Sixty. Ninety.

At ninety-two seconds the line went dead.

We reached him later — the one thing intake had done right was take his number at the start. By then he'd spoken to another firm and was excited to work with them.

Every dollar of marketing that brought that call in — handed to a competitor by hold music.

That was a long time ago. If anything, people's tolerance for ninety-two seconds on hold has gone down since.

Intake isn't admin. It's where the marketing budget converts or evaporates.

This is what the February Catalyst session is about, and why I'm releasing it. Most firm owners at six and seven figures are trying to solve a conversion problem by buying more leads. It's the most expensive possible way to fix it.

Section 02 · The arithmetic

What ten points is worth

In the session I walk through why intake is the highest-leverage number in a law firm: small percentage movements cascade. Put your own numbers in — this runs in your browser and nothing is sent anywhere.

If scheduling improved by 10 points
$624,000 / yr
64 clients per month today · 72 after · 8 more clients every month

Same marketing. Same spend. Same phone. One number moved ten points.

That's the whole argument for spending an hour on intake before you spend another dollar on ads. The session shows you which ten points are actually available to you, and the playbook gives you the language to go get them.

Section 03 · What's covered

Inside the session

01

The six ways firms lose the call

Answering "law office." Hold times past thirty seconds. Only some staff being able to run an intake. Not getting contact information. Sounding bothered. And the handoff chain that loses information at every step.

02

Why hiring "empaths" backfires

A multi-million-dollar PI firm hired for emotional depth and got people who fell apart under KPIs and burned out by lunch. What you actually need alongside the empathy, and why.

03

Framing, not scripting

The call broken into beginning, middle and end — with the actual language for each. Including the one sentence in the first thirty seconds that saves cases nobody realises are being lost.

04

Authority building, in passing

How to raise the attorney's standing during the information-gathering without it turning into a sales pitch — and why this depends on something you can't script.

05

The numbers to track

Three primary, four secondary. Benchmarks for call length by practice area, hold time, hot transfer success, and show rate.

06

Show rate, outbound intake, and hiring

Getting scheduled people to actually turn up. Handling web forms, chats and LSA leads that hit three other firms at the same time. And the interview step almost every firm skips when hiring someone to answer a phone.

Plus the written playbook — every script and standard from the session, ready to hand to your team.

Section 04 · Who it's for

Worth your hour if

Yes, watch it

  • You're doing six or seven figures and leads are coming in already
  • Someone other than you answers the phone at least some of the time
  • You suspect your close rate should be better than it is
  • You're about to increase ad spend and want the phone ready first
  • You run the firm like a business, not a job with a law degree attached

Skip it

  • You opened this year and the phone isn't ringing yet — this is a conversion session, not a lead-generation one
  • You take every call yourself and intend to keep it that way
  • You want a vendor to do it for you
  • You're after theory. This is an hour of specifics and a playbook

It's practice-area agnostic — the session draws examples from personal injury, family law, criminal defense and estate planning, because the failures are remarkably consistent across all of them.

Section 05 · Who's teaching

Charley Mann

Charley Mann

For more than fifteen years I've worked exclusively with law firm owners on the business side of the practice — marketing, management, money, and the decisions that separate a firm that grows from a firm that just gets busier.

I never went to law school. I studied theater, which turns out to be a better background for persuasion than most people expect. I've served as president of one of the best-known coaching programs for solo and small firms, and I run consultation days at $6,500.

Catalyst members get a session like this one every month. This is February's, in full.

What law firm owners say about working with me

Nate Amendola

"Charley is a rarity and truly peerless. In an industry rife with charlatans, separating the wheat from the chaff can sometimes be difficult. However, after but a moment's interaction with Charley, it's abundantly clear that he is the genuine article. Professional without preaching, Charley commands authority naturally."

Scott Snellings

"Charley has been one of the most influential people in my professional and personal life. He has an ability to force his clients to climb up to the 30,000 foot level so they can see the larger picture and identify the fundamental problems and opportunities."

Tim Semelroth

"Charley's gift is his ability to synthesize tips, strategies and trends from multiple industries and show his students how to apply those ideas in a law practice. It is hard to get off the phone with Charley without a smile on your face — and actionable advice that will improve your bottom line."

Nick Rosenbauer

"He probably understands more about my practice than I do, and he has helped my office grow, help more families, do better work for those families, and allow me to spend more time with my own family than I did years ago."

Questions

Is this really the members-only session, or a version made for the public?

It's the real one, recorded live for Catalyst members in February 2026. The only thing removed is the live member Q&A — those were paying members discussing their own firms in a private setting, and that stays private. Everything I taught is there in full.

What's the catch? Why give away a paid session?

No catch, and there's no pitch inside the session. Catalyst is $197 a month and the honest sales argument for it is "watch what you actually get." This is the cheapest way for me to make that argument and the most useful thing I can hand you either way.

Do I have to sit through an hour to get value?

No. The written playbook covers everything from the session in a form you can skim in ten minutes and hand straight to whoever answers your phone. Watch the session if you want the reasoning and the stories; use the playbook if you just want the standards.

My practice area isn't personal injury. Does it still apply?

Yes. The examples span PI, family law, criminal defense and estate planning. Benchmarks like call length differ by practice area — those are broken out — but the failures and the framing are consistent.

I'm the one answering the phone. Useful?

Partly. The framing and closing language will help you immediately. The sections on hiring, handoffs and measuring a team won't apply until you have one — though they're a reasonable preview of what to build toward.

What happens to my email address?

You get the session and playbook, then my regular notes on running a law firm. I don't sell, rent or share your information, and there's an unsubscribe link on everything I send.
